The Approach
Each commission begins with a thoughtful conversation. Clubs and resorts typically reach out by phone or email to discuss their interest in aerial photography and/or video, at which point we take time to understand the course, the club’s objectives, and how the imagery will be used.
Rather than working from a preset package, we define the scope collaboratively. This includes discussing the level of coverage desired, specific holes or architectural features to emphasize, intended applications such as web, print, or advertising, and any seasonal or timing considerations that may enhance the final result. Whether the goal is comprehensive course documentation or a focused visual narrative, clarity at this stage ensures a refined and efficient production.
Once the scope is established, PINSEEKER MEDIA prepares a detailed proposal outlining deliverables, timing, and investment. Upon approval, agreements are finalized and shoot dates are scheduled to align with optimal course conditions.
On-Course Coordination
After dates are confirmed, close coordination with the golf course superintendent becomes essential. Maintaining open communication helps avoid conflicts with key maintenance activities such as aeration, over-seeding, or other cultural practices that could affect course presentation.
During the shoot, the superintendent serves as our primary on-site partner. The most favorable lighting typically occurs during the first hours after sunrise—coinciding with the grounds crew’s preparation for daily play. Careful planning allows both teams to work in harmony, preserving course conditions while capturing imagery at its visual peak.
Advance coordination often allows for select preparation of featured holes, including bunker detail, mowing patterns, and overall presentation. This collaboration is particularly important for aerial video, where a wide field of view makes even minor on-course activity visible. Managing movement and timing ensures clean, uninterrupted visuals that reflect the course at its best.
We also work closely with the professional staff regarding tee times, daily play, and tournament schedules. Flexibility within the tee sheet—when available—allows for greater efficiency and precision, especially during limited daylight windows.
Post-Production & Image Rights
Following the shoot, all imagery is carefully edited to ensure accurate color, tonal balance, and visual consistency throughout the collection. Post-production is handled with precision and restraint, with final delivery typically completed within two to three weeks, depending on project scope and seasonal workload. When timing is critical, priority delivery can be accommodated.
Upon delivery, the club or resort receives full, unlimited usage rights to all final images in perpetuity. The imagery may be used freely across all platforms—including marketing, advertising, websites, social media, publications, and future promotional initiatives—without restrictions, renewals, or additional licensing fees.
Unlike arrangements where usage is limited or future fees are required, PINSEEKER MEDIA provides complete ownership of usage from the outset, allowing clubs to utilize their imagery with confidence for years to come.
